Administration Assistant

Position Overview

The ideal candidate makes our office a welcoming place, is a constant learner, and effortlessly tends to day-to-day duties, such as accounting bill entry. This is a position for someone that enjoys tackling projects and is a self-sufficient problem solver.
Our Administrative Assistant will thrive in a collaborative environment, possess a passion for customer service, and have unwavering positivity. This individual will also demonstrate strong communication skills and an eye for detail.

Role Expectations

  • Professionally represent the company when speaking with customers
  • Maintain an organized task list and triage requests
  • Effectively communicate with colleagues and customers
  • Accurately enter bills into the Quickbooks Online software
  • Develop a structure to handle recurring duties
  • Leverage resources within our team and collaborate effectively
  • Manage follow-up communication and keep projects on schedule
  • Provide strategic assistance through active participation in key meetings
  • Coordinate company events and/or travel as needed
  • Generate accurate reports for management
  • Match bills to their corresponding purchase order and then enter them into Quickbooks (for a candidate that is eager to learn, we will provide Quickbooks training)
  • Call customers to confirm receipt of invoices prior to payment coming due
  • Run errands as needed

Qualifications

BS/BA Degree from a four-year college or university OR 2 - 5 years of professional experience in an administrative, customer service, or accounting role.

Must be familiar with and proficient in Microsoft Office: Outlook, Word, Excel, and Power Point. CRM (Microsoft Dynamics) or Quickbooks exposure is helpful.
